How to Build a Simple Budget Spreadsheet
Set up a working monthly budget with income, expenses, and an automatic running total.
- In column A, list your income sources starting at row 2 (row 1 is your headers: Item, Amount, Category).
- Below your income rows, list every regular expense the same way — rent, subscriptions, groceries, and so on.
- In a summary cell, total your income with =SUM() over the income rows, and total expenses with =SUM() over the expense rows.
- Add a "Remaining" cell that subtracts total expenses from total income, so you see your monthly position at a glance.
- Select your data and use Insert > Table to turn it into a proper Excel Table — new rows you add will automatically extend your SUM ranges without editing formulas.
- Apply conditional formatting to the Remaining cell (Home > Conditional Formatting) so it turns red when negative — an instant visual warning.

Frequently Asked Questions
Do I need any special Excel version for this?
No — this uses standard formulas and formatting available in any current version of Excel, including the free web version through a Microsoft account.
Can I adapt this for a business budget instead of personal?
Yes — the same core structure (categories, planned vs. actual, totals) works for either, just with different category names suited to a business context.
